Job Summary Reporting to the Department Administrator, the Secretary clerically coordinates all matters related to the graduate programs, including Graduate Coordinator support, program requirements and registration, student funding, student progress, and arrangements for oral defences and PhD comprehensive exams. Update program, course, and enrollment information on university-wide electronic records systems.
Key Responsibilities
  • Monitor progress records/documents for students registered in the Department’s programs, tracking that program requirements are completed, and deadlines are met.
  • Coordinate graduate student funding documents, including verification with supervisors and grant-holders.
  • Verify Convocation Lists including graduate student completion of program requirements.
  • Assist with the CUPE TA/Marker hiring process for undergraduate courses.
  • Screen incoming calls, emails and in-person visits, respond to routine inquiries.
  • Assist with the planning and execution of activities and events for the department to support all programs as required.
Note Due to operational requirements, the successful applicant is required to work in-person on campus.
Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.
Required Qualifications
  • Business/Office Administration Certificate/Diploma with two years’ of relevant experience (or an equivalent combination of training and experience).
  • Computer proficiency, including Microsoft Office and other Microsoft programs.
  • Excellent organizational and communication skills.
  • Skills to multi-task, demonstrate initiative, work independently, as well as in a team environment.
  • Exhibit attention to detail, and have the ability to adapt to different work environments (online/in-person) and learn new technologies and processes as needed.
Assets
  • Previous experience in an academic environment.
