Job Summary The Faculty of Engineering at Dalhousie University provides an opportunity to be part of an excellent engineering school in a leading, research-intensive Canadian University. Reporting to the Administrative Coordinator, the Secretary would provide secretarial and clerical support for the Faculty of Engineering, Office of the Dean.
Key Responsibilities
  • Prepare invoice requests for the Faculty through direct requests or through email.
  • Prepare/input information from invoices into spreadsheets for upload once a month. Reconcile Accounts Receivable list.
  • Provide reception for the Dean’s Office.
  • Assist with maintaining stationery and office supplies, photocopying, and other office procedures.
  • Assist with event planning, catering and room booking requests.
  • Receive and direct appropriately all mail related to admissions. Date-stamp all language test results from students who speak English as an additional language, log and file accordingly.
Note Due to operational requirements, the successful applicant is required to work in-person on campus.
Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.
Required Qualifications
  • Business/Office Administrative Program with two to three years’ related work experience (or equivalent combination of training and experience).
  • Proficient in Microsoft Office suite (Word, Excel, Access).
  • Excellent communication (both written and oral), organizational and interpersonal skills.
  • Ability to work independently in a busy office setting and prioritizing the workload.
