Job Summary

The Faculty of Open Learning and Career Development (OLCD) develops and delivers innovative and diverse lifelong learning experiences for more than 5000 students annually to help them navigate the changing world of learning and work. Reporting to the Director, Enrollment, Student Services & Advising, the Registration & Student Services Coordinator is responsible for student registrations and the registration process, invoicing, processing payments, gathering financial information, and updating student registration and course records.

Key Responsibilities

Provides information, instructions and troubleshooting support to students virtually or in-person who are seeking to register for courses/certificates. Notifies clients of course cancellations as well as pre-determined alternatives or future offerings, rescheduling as appropriate.

Prepares and distributes confirmation letters, emails, forms, and correspondence.

Receives, prepares, submits quotes and applications, and prepares invoices for special group applicants in consultation with program teams.

Provides students with information to determine course suitability; regarding applications, fees, scheduling, etc.; implications for withdrawals and cancellations; and the Faculty’s Recognition of Prior Learning (RPL) and Micro credentialing options.

Processes course/registration payments as required. Issues payment receipts, responds to student inquiries about tax receipts. Calculates course fees and taxes. Monitors upcoming courses to ensure receipt of payment by deadlines and initiates follow up as required. Processes refunds in accordance with policies.

Generates end of day trans-select reports. Reconciles and balances daily financial transactions. Forward payments received for processing and deposit. Ensures receipt of post-dated cheques/pre-authorized credit card approvals. Maintains accurate accounts receivable records for collection of monies owed.

Note

Due to operational requirements, the successful applicant is required to work in-person on campus.

Required Qualifications

Office/Business Administration Diploma with approximately 3-5 years’ related experience in a student service and/or registration role in a post-secondary institution (or an equivalent combination of training and experience).

Demonstrated customer service experience.

Demonstrated interpersonal and communication (verbal and written) skills.

Proven ability to exercise initiative and work independently as well as in a team environment.

Demonstrated ability to work with individuals from a wide variety of backgrounds.

Demonstrated organizational skills and attention to detail.

Proven proficiency in MS Office suite (Outlook, Excel, Word).

Assets

Experience with Dalhousie systems (Banner and/or Destiny).

Demonstrated competency in another language (verbal and written).
