Our client, a boutique Real-Estate brokerage, is looking for a Part-Time Listing Coordinator to support their growing operation. We’re looking for a detail-oriented, tech-savvy team player with 3+ years of experience in real estate admin or transaction coordination. You’ll manage listings from start to finish, coordinate vendors, and ensure flawless execution. Strong knowledge of the Toronto market, MLS systems, RECO compliance, and tools like BrokerBay, DocuSign, and WebForms is essential.Key Responsibilities:– Oversee all real estate listings from pre-listing to closing, ensuring flawless execution of paperwork, marketing, and vendor coordination.
– Schedule and manage photographers, stagers, trades, signage, and lockbox installs to ensure listings are presented at the highest standard.
– Serve as the main point of contact for sellers, managing expectations and timelines while keeping them informed and supported throughout the process.
– Provide backup to agents during busy periods-handling offers, rescheduling showings, reviewing paperwork-and assist with new agent onboarding.
– Prepare and review all listing/sales documentation to ensure accuracy and compliance with RECO and brokerage policies.
– Liaise with lawyers, mortgage brokers, and industry professionals to ensure smooth, on-time closings and manage all critical dates and deadlines.
– Track commissions, reconcile invoices, manage expenses, coordinate trust deposits, and support general office operations.
– Manage scheduling, expenses, and personal tasks while acting as a trusted right hand and anticipating needs proactively.
– Proofread marketing materials, listing descriptions, and social content to align with a polished brand voice and quality standards.
– Bring a high-energy, solutions-first attitude, and the ability to thrive in a fast-paced, collaborative, and high-performing team environment.Qualifications & Experience:– Minimum 3 years of experience in administrative support, listing coordination, or transaction management within real estate.
– Strong knowledge of the Toronto real estate market, listing processes, deal flow, MLS systems, contracts, and RECO compliance.
– Proven project management skills with the ability to juggle multiple listings, vendors, deadlines, and leads while maintaining exceptional attention to detail.
– High proficiency in real estate tools and software, including WebForms, BrokerBay, DocuSign, Loft47, QuickBooks, Typeform, CRM platforms, and Google Suite.
– Availability on weekends as needed for time-sensitive tasks such as offer registrations or urgent client requests.
