Exultate Chambers Singers is currently seeking an organized and self-motivated individual for a part-time contract role (on average 0.2 FTE). The Operations Manager reports to the Board of Directors and is responsible for overseeing the day-to-day operations of Exultate Chamber Singers. Working with the Artistic Director (AD) and Social Media Manager (SMM), the Operations Manager works to strengthen Exultate’s reputation, expand its audience, and increase revenue. The role involves managing financial systems, ensuring efficient box office operations, and driving fundraising efforts. Specific duties include managing corporate records, budgeting, grant writing, marketing and content creation, volunteer coordination, and facilitating smooth communication between all stakeholders, with a focus on enhancing the organization’s visibility and financial sustainability.Highlights of Key Responsibilities:General Administration

  • Manage correspondence and maintain filing systems and records
  • Attend and report at Board meetings (4-6 times/year)

Financial Management

  • Develop budget with Treasurer and AD; maintain accounting systems, records, and banking arrangements; process accounts payable/receivable and generate financial reports
  • Issue tax receipts, apply for GST rebate, submit government financial reports, and liaise with auditor for financial statement and charity return

Grant Writing and Fundraising

  • Collaborate with AD and Board on fundraising strategies, prepare grant applications, and maintain donor records

Marketing and Publicity

  • Develop and execute marketing strategies with AD, SMM, and Board, overseeing print, digital, and social media content
  • Liaise with external partners as needed, and coordinate marketing material distribution

Production and Box Office Management

  • Collaborate with AD on production planning and oversee logistics, including venues and ticket sales; coordinate event program production
  • Prepare sales reports and coordinate front-of-house staff and volunteers

Volunteer Coordination

  • Cultivate, schedule, and acknowledge volunteer contributions
  • Support volunteer roles in marketing, fundraising, event planning, and choir communication
