Since 1992, we’ve been pioneering community-engaged arts practices, collaborating with residents of all ages, and producing large-scale, community centered art.The Operations Administrator will work closely with the Interim Executive Director and Programming team. This role is responsible for providing operational support and ensuring the timely and accurate processing of the accounts payable cycle. The Operations Administrator will report to and receive support from the Interim Executive Director.Role: Operations AdministratorTerm: Part Time 21 hours a week/3 days, 8 month contractKey ResponsibilitiesAccounting

  • Process and manage accounts payable, programming invoices and staff expenses, ensuring accuracy and timeliness for payment.
  • Maintain invoices, receipts and documentation files for charity cGaming reporting, audit and compliance purposes.
  • Set up and maintenance of expense vendors, including travel and material vendor reconciliation.
  • Coordinate with internal teams and external vendors to resolve discrepancies and inquiries.
  • Support month-end and year-end closing processes related to accounts payable.

Operations

  • Prepare artist, contractor, program related and kiln/space rental contracts.
  • Oversee office supply inventory, the use of tech, equipment and the office space.
  • Provide administrative support for general email inquiries and phone monitoring.
  • Coordinate studio, gallery and office spaces for programs, events, internal and external stakeholder meetings.
  • Occasional evenings and weekends may be required to support operational needs.
