Job Description Abstract
Performs duties associated to the on daily basis operation of the Lodging Workplace together with however not restricted to reservations, visitor registration, billing and cost preparations.
Organizational Standing

Experiences to the Supervisor, Entrance Desk Supervisor, Entrance Workplace Supervisor, Lodging Coordinator. Liaises with all Conferences & Lodging employees. Interacts with varied college departments, purchasers and company of Conferences & Lodging at UBC.

Work Carried out

Entrance Desk:
– Visitor registration, cost, and check-in/check-out.
– Handles money and processes visitor funds. Cross-checking every day deposit towards postings.
– Offers data regarding conferences, lodging, visitor providers, UBC campus, and tourism to company.
– Handles keys and maintains a strict measure of management.
– Encoding visitor entry playing cards.
– Initiates customary College emergency procedures when essential (phone to 911).
– Initiates night time audit; a sequence of routinely generated studies by PMS.
– Types studies; forwarding these to applicable departments.
– Inserts visitor data into template letters for routine visitor communication.
– Cross-checking and verifying that group and particular person charges are posting appropriately.
Reservations:
– Operates phone switchboard and processes incoming calls.
– Receives and processes reservation requests by mail, e-mail, fax and phone.
– Forwards cheques obtained to supervisor for posting.
– Inserts visitor data into template letters for routine visitor communication.
– Sends company emails, faxes and posts costs and funds to visitor accounts.
– Maintains and updates misplaced and located inventories.
Registration Providers:
– Performs common workplace duties together with phone reception, photocopying, faxing, bill preparation, mail sorting and completion of routine correspondence.
– Prints automated every day convention schedules, distributes to applicable departments.
– Participates in registration providers actions together with on-site registration and making ready delegate kits (identify badges, materials collating and many others.)
– Offers data to convention delegates relating to convention actions by way of e-mail or phone.
– Offers clerical help to Registration Providers Coordinator, Director of Convention Providers and Convention Coordinators.
