Job Summary The Department of Family Medicine strives to provide leadership by advancing the discipline of family medicine through research and education in primary health care, teaching family medicine residents and Dalhousie medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Medical Education Manager (MEM) and the Curriculum and Evaluation Coordinator (CEC), the Education Secretary will carry out a range of administrative tasks in support of the Education Program in the Department of Family Medicine.
Key Responsibilities
  • Act as the first point of contact for the Family Medicine education unit and respond to faculty, staff and learner inquiries, problems and requests by e-mail, phone and in-person.
  • Provide administrative support, as required, for residency selection, end of residency and accreditation activities, and to Education Program leadership and staff, including formatting and distributing materials, maintaining files, scheduling meetings and assisting with budgets.
  • Manage all Medical Education Unit IT equipment. This includes the loaning out and tracking of equipment.
  • Provide administrative and secretarial support to program level Faculty Development activities. This includes support for the Program Director, FD Coordinators Committee and faculty development sessions (including scheduling, accreditation and other activities).
  • Participate in the planning and organization of various program special events.
  • Provide back-up support to Department reception for break / lunch / vacation coverage on a rotating basis. Provide back-up support for the committee secretary position as well as support to various committees as required.
Note The selected incumbent will be required periodically to work outside regular business hours, including evenings and week-ends, with advance notice.
Due to operational requirements, the successful applicant is required to work in-person.
Dalhousie’s vaccine mandate has been suspended at this time, and employees no longer need to provide proof of full vaccination. However, health and safety risks to our community will continue to be monitored and a vaccine mandate may be reinstated if necessary.
Additionally, as this position is in a clinical academic department based within Nova Scotia Health facilities, NSH’s vaccination and other relevant workplace policies may apply.
Required Qualifications
  • Business/Office Administrative diploma with approximately three to five years’ related work experience (or equivalent combination of training and experience).
  • Proven experience in MS Office suite, distributed meeting technology such as Zoom or MS Teams, and Adobe with the demonstrated ability to learn new programs quickly.
  • Strong interpersonal, teamwork, and communication (written and verbal) skills.
  • Excellent attention to detail, organizational and multi-tasking skills while working in a busy, dynamic environment.
