As a ADMINISTRATIVE SUPPORT ASSISTANT your duties will include but are not limited to the following:

  • Review a variety of budget and financial data reports and compare them to office records to ensure appropriate cost structure, availability of funds, or the status of sub-activities.
  • Use accounting methods and procedures to maintain, balance, and reconcile multiple accounts, adjust discrepancies, verify accuracy of data, and prepare reports.
  • Create monthly financial reports to reflect current status of funds authorized, obligated, expended and balance remaining.
  • Track expenditures and obligations, allocate and monitor status of funds, and report on status monthly, or as requested.
  • Provide guidance or assistance on budgetary procedures.
  • Resolve internal and external customer problems, along with teams’ members as needed, to achieve customer satisfaction using listening, communication, and problem-solving skills.
  • Build and sustain professional relationships with internal and external customer using strong communication and teamwork skills.
  • Prepare and edit correspondence, forms, plans, reports and other documents from rough drafts or oral instructions by using correct grammar, abbreviations, spelling and punctuation
  • Perform timekeeping duties using automated payroll system to include entry and coding of time and attendance information according to standard operating procedures and policies.
  • Communicate time and attendance/leave and human resources information to a variety of individuals within an office.
  • Organize and coordinate work on payroll/time and attendance/leave and human resources activities where numerous tasks are involved.
  • Provide advice to office staff concerning payroll matters (time and attendance, overtime entitlements, hours of work etc.).
  • Initiate requests for personnel actions using an automated personnel system, such as the Federal Personnel and Payroll System (FPPS) or other federal or private sector staffing systems.
  • Prepare procurement documents for open market, mandatory source purchases, and other contracts and agreements.
  • Monitor open obligations and contracts, and assist with required paperwork for modifications of open contracts, and recovery of unused funding.
  • Complete micro-purchase transactions for supplies, equipment, repairs and services using purchase card in compliance with acquisition regulations and delegated authority.
  • Interpret and apply procurement regulations and small purchase guidelines.

Promotion Potential:This position involves a multi-grade career ladder. The major duties listed represent the duties at GS-6. At lower grade levels, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-7.

Qualifications

Only experience and education obtained by 03/24/2023 will be considered.

In order to qualify for this position you must possess theMinimum Qualification at the grade-level for which you would like to be considered.

Minimum Qualification [GS-5]
A. I have one (1) full year of specialized experience comparable in scope and responsibility to the GS-04 level in the Federal service that primarily involved duties such as: performing clerical tasks using word processing, spreadsheet, database management, etc.; reviewing correspondence or reports to ensure proper grammar, spelling, and punctuation; assisting in purchase of supplies, equipment or services for an organization in accordance with regulations and procedures; providing general office support services for an organization such as preparing forms, documents or correspondence, or responding to procedural questions from the public.NOTE: Your resume must contain sufficient detail at this level of work, e.g., begin/end dates, hours worked per week, duties performed, etc. for each timeframe for consideration.

B. I have completed four years of education above the high school level in any field, from an accredited college or university, for which high school graduation or the equivalent is the normal prerequisite.NOTE: Transcripts are required.

C. I have an equivalent combination of post-high school education and specialized experience as stated above, which when combined meet at least 100% of the qualification requirement. Minimum Qualification [GS-6]
I possess one (1) year of specialized experience comparable in scope and responsibility to at least the GS-05 level in the Federal service. Examples of experience may include: reviewing an organization’s funds or financial data to ensure accuracy; preparing travel arrangements, authorizations, and submitting travel vouchers; assisting in procuring supplies, equipment or services for an organization in accordance with regulations governing the type of purchase; providing organizational support services for an organization such as timekeeping, preparing forms, documents or correspondence, or responding to procedural questions from the public.NOTE: Your resume must contain sufficient detail at this level of work, e.g., begin/end dates, hours worked per week, duties performed, etc. for each timeframe for consideration.
