Position Summary

As an integral member of the Dean’s Office, this position reports to the Executive Coordinator and provides key administrative support for the Dean’s Office and other senior leadership. In addition the position provides administrative support and undertakes special projects originating from the Dean’s Office.


  • Provides day to day administrative support in the Dean’s Office, including managing appointments, drafting correspondence, maintaining file systems and databases, supporting a variety of projects and tracking budget spending.
  • Primary responsibility for SupplyNet, credit card, and Travel & Expense claim reconciliations;
  • They will have access to electronic signing on behalf of the Dean, Vice Dean, and several others senior leadership;
  • Draft routine communications under Executive Coordinator direction;
  • Support committees not only as recording secretary but also in preparation of materials;
  • Work in the calendars of several administrative and academic leaders;


  • High School diploma; Post-secondary diploma or certificate preferred.
  • Minimum of 2 years related office experience.
  • Knowledge of records management and Freedom of Information and Protection of Privacy best practices.
  • Proficiency with Microsoft Office suite of applications.
  • Excellent organizational, time management and critical thinking skills.
  • Ability to multi-task and prioritize.
  • Ability to work in a team environment.
  • Excellent verbal and written communication skills.
